Defra group Property (DgP) is responsible for providing Property Management services to the Defra group across its corporate estate including office, depot and laboratory assets.

Job description

This role is for an Administration Officer who will work with and across all aspects of the Facilities Management service delivery model as part of a team.

The role will sit within a Team that delivers specific outcomes for customers and stakeholders or, within Delivery will also have specific responsibility for delivery of services and projects.

The quality of services delivered to customers will be a key deliverable for the Facilities Management Teams and made transparent to our Customers and Stakeholders.

Please note that this role has been identified as being ‘in scope’ to transfer to a private sector company called ISS, by law, in accordance with the Transfer of Undertakings (Protection of Employment) Regulations (known as TUPE). This means that if you are successful and choose to accept this role, you will TUPE transfer to ISS early next year. We are currently consulting with trade unions in respect of the anticipated transfer. More information will be provided if your application is successful and once you join.

This role is based on site 8:30am - 5.00pm (Monday - Friday) at Blandford Hub, Rivers House, Higher Shaftesbury Road, Blandford, Dorset, DT11 8ST. There is a requirement for occasional travel to other sites to cover absence/leave and provide adhoc support at Depots in Dorchester and Salisbury. A driving licence is therefore required.

Person specification

This is a challenging role with priorities and tasks changing daily so the post holder will need to be highly motivated and able to organise their time/workload to achieve the outcomes required. They will also need to work well alone and also as part of a team.

The post holder will be required to:

  • Serve visitors by welcoming and directing them appropriately
  • Notify company staff of visitor arrival
  • Maintain security by following procedures, monitoring the visitor book and checking passes
  • Monitoring the facilities help desk, assist with email and telephone calls and liaise with staff
  • Delivery of support services including provision of postal and reception services; meeting room bookings; managing and ordering stock maintenance and purchase of office supplies and stationery

No previous experience required as full training will be given.

Sift

Location

Please be aware that this role(s) will be contractually based in a Defra group workplace/office, Rivers House, Higher Shaftesbury Road, Blandford, Dorset, DT11 8ST

The successful candidate is required to carry out all their duties from a UK location, and cannot do so from an overseas location at any time.

Travel and subsistence will not be paid for travel to a base office location.

Reserve List

A reserve list may be held for a period of 12 months from which further appointments can be made.

Salary

New entrants to the Civil Service are expected to start on the minimum of the pay band. The internal roles rules apply to existing Civil Servants, i.e. level transfers move on current salary or the pay range minimum, transfers on promotion move to new pay range minimum or receive 10% increase. Either case is determined by whichever is the highest.
