An exciting opportunity has arisen for a motivated and enthusiastic individual to join the team at Hayward House Specialist Palliative Care unit located at the city hospital campus.

The ward reception role is integral to ensure the smooth operation of the service.

We are looking for a motivated and enthusiastic individual to provide a warm welcome to all visitors to Hayward House.

As ward reception you will be the first person many people will meet as they enter our department.

You will be a team player with excellent organisational and communication skills.

You will need to be able to demonstrate a clear understanding of confidentiality issues, be well motivated and reliable.

You will also be able to prioritise workloads, use your own initiative and respond to queries within and outside the organisation with a professional manner to patients, relatives and staff at all levels.

The post holder will be required to provide a professional, efficient and comprehensive weekend reception service within Hayward House.

Fulfilling all necessary reception, clerical, administrative and general tasks required to facilitate and record patient treatment using paper based health records and information technology systems.

Staff are expected to be courteous and considerate at all times and have excellent customer care skills.

After appropriate training the post holder will be required to utilise the hospital Medway PAS computer system to capture and update necessary data, and to use the case note tracing system to accurately record the movement of paper based health records.

The role requires close liaison with other disciplines and the provision of a courteous, reliable and quality consumer service to patients, relatives and carers, healthcare professionals, internal departments and outside organisations.

Hayward House is a 20 bedded Specialist Palliative Care Unit in the grounds of the City Campus of Nottingham University Hospital NHS Trust.

It provides high quality care centred on the needs of patients and their families. Its aim is to enrich the quality of life through the skills of an experienced and caring team.

The main responsibilities and job description of Hayward House are as follows:

To provide a welcoming, friendly and courteous reception to patients, visitors, carers and internal users of the service.

Deal with enquiries in person or by telephone in an efficient and polite manner.

To record patient attendances and accurate data on Medway PAS.

To Create and file health record folders.

To locate and retrieve health records from around the Trust.

To prepare the required health records ready for the consultation together with any relevant diagnostic, social and personal information required.

To organise Interpreting Services as required.

In addition to the key job responsibilities detailed in this job description all employees at Nottingham University Hospitals NHS Trust are expected to comply with the general duties detailed below:

To immediately report to their manager any shortcomings in health and safety procedures and practice.

To report any accidents or dangerous incidents to their immediate manager and safety representative as early as possible and submit a completed accident/incident form.

To use protective clothing and equipment where provided.

To accurately record the outcome of patient’s appointments on Medway PAS.

To organise and direct patients to attend diagnostic tests/other departments.

To be responsible for making follow up appointments, alterations and cancellations of appointments promptly and within the Consultant’s booking rules.

To liaise by telephone with patients, General Practitioners, Community Midwives, secretaries, ward receptionists etc, regarding hospital appointments.

To screen all new patients on arrival for Overseas Visitor status, contacting the Private Patients Officer as necessary.

To confirm at each patient visit that all recorded details are complete and accurate e.g. GP, address, telephone number, and to amend these on Medway PAS and within written health records as required.

To communicate with clinic staff, colleagues and patients to explain any delays or problems with the location of health records.

To inform patients of their appointment by letter, including any other required information/literature.

Undertake the distribution and collection of information for surveys and audits as required
